Event app, here's how to ensure safety for your physical event

Mobile technology is sure to play a pivotal role in our much desired return to face-to-face events and apps will help ensure a safe and secure environment.

Event apps are a valid solution to facilitate the organization of an event in the presence of Covid-safe: in fact, having a technology that can be used by everyone in a physical event has many advantages as it facilitates the management of various elements such as covid test certificates, vaccine passports, social distances and contact tracing.

However, while adopting the app can help keep events safe, it also raises privacy and data security issues that are important to address.

THE CHALLENGE FOR THE ADOPTION OF APP FOR EVENTS

Event app adoption rates are constantly a challenge for event professionals and tech companies.

If an event could have a 100% event app adoption rate, that would open up opportunities to not only use technology to keep everyone safe, but also to connect among attendees and provide visibility for sponsors.

SHOULD THE ADOPTION OF APP FOR EVENTS BE IMPOSED?

The GDPR and other data protection regulations before making this a condition for participant participation.

The preference is always for acceptance over application. “The way you explain and communicate this requirement, and its reasons, before registration takes place and in the run-up to the event, would be key to its acceptance and adoption by attendees. Enforcement would be difficult, so acceptance is the best route, ”says Rob Harrison, director of Congrex Americas.

APP FOR EVENTS AND COVID-SAFE TECHNOLOGY

Despite concerns about privacy and data security, there is good reason to adopt an event app whose features can simplify the additional rules and regulations involved in upcoming face-to-face events.

One option that can prove to be very useful is monitoring the number of people in a given space via Wi-Fi and Bluetooth scanning. There is also great potential for an app-based booking system for events that provides instant availability reports by time slots for exhibition zones (where areas are pre-booked), exhibitor appointments or secure meeting spaces.

Features to consider may include:

  • Booking of time slots in the exhibition areas
  • Appointment for booking with specific exhibitors
  • Reservation of secure meeting spaces
  • Monitoring of the entry and exit of participants
  • Discreetly report any unsafe conditions
  • Posting messages to specific groups of participants (based on behavior).

Bottom line, event apps like Letz Fair, can uniquely help us address some of the foreseeable health and safety limitations of face-to-face events. Ultimately, if they are an essential component of the event experience, most attendees will use them to manage their onsite experiences securely.
